By booking a campervan with Roadhouse Leisure, you agree to the following Terms & Conditions. Please read them carefully before confirming your booking.
1. Booking & Payment
1.1 – A booking is confirmed once the required deposit has been paid and written confirmation has been issued by Roadhouse Leisure.
1.2 – The balance of the hire charge must be paid no later than 28 days before the start of the hire period. For bookings made within 28 days of departure, full payment is required at the time of booking.
1.3 – All prices include VAT at the prevailing rate, unless otherwise stated.
1.4 – Roadhouse Leisure reserves the right to refuse any booking at its discretion.
2. Security Deposit
2.1 – A refundable security deposit of £500 is required prior to collection.
2.2 – Guests should allow up to 7 days for the security deposit to be refunded.
2.3 – Deductions may be made for:
- Damage to the vehicle or interior
- Missing items or equipment
- Excessive cleaning required
- Late return
- Fuel replenished
- Insurance excess where applicable
- Any Road traffic violation fines.
3. Insurance & Driver Requirements
3.1 – Fully comprehensive insurance is provided for approved drivers only.
3.2 – Drivers must:
- Be aged 25–75 years
- Hold a full UK driving licence
- Have held their licence for at least 2 years
- Have no more than 6 penalty points
- Have no major convictions (e.g. drink/drug driving, dangerous driving)
3.3 – All drivers must be declared and approved before hire. Undeclared drivers invalidate insurance.
3.4 – The insurance excess is £750
3.5 – We will require ID to confirm your address, a bill or bank statement dated no older than 3 months. Share photos of your driving licence & a DVLA driving licence share code. http://www.gov.uk/viewdriving-licence
3.6 – Your licence must match your current address.
4. Vehicle Collection & Return
4.1 – Collection is from 2:00pm on the first day of hire.
4.2 – Return must be by 10:00am on the final day of hire.
4.3 – Late returns may incur additional charges of £30–£50 per hour or part thereof & will be taken out of the security deposit.
4.4 – The vehicle must be returned:
- With the same fuel level as at collection
- Clean internally (reasonable use accepted)
- Toilet cassette emptied & cleaned
- Wastewater tank emptied
Failure to do so may result in additional charges.
5. Mileage & Usage
5.1 – The hire includes a mileage allowance of 130 miles per day. Excess mileage is charged at £20 per mile.
Please bear in mind the age & cruising speed of the vehicle when planning your journey, as it may travel much more slowly than what you might be used to.
5.2 – The vehicle must not be:
- Taken outside the UK without prior written consent
- Used for hire or reward
- Used off-road
- Used for festivals unless agreed in writing
- Used for towing
5.3 – Smoking and vaping are strictly prohibited inside the vehicle.
6. Care of the Vehicle
6.1 – The hirer agrees to always take reasonable care of the vehicle and its contents.
6.2 – Any warning lights, mechanical issues, damage, or accidents must be reported to Roadhouse Leisure immediately.
6.3 – Repairs must not be carried out without authorisation, except in an emergency to prevent further damage.
6.4 – In the event of a mechanical emergency, please take to the nearest garage or call the breakdown number provided.
7. Cancellations & Amendments
By the Hirer:
- More than 28 days before hire: deposit retained
- 15–28 days before hire: 50% of hire charge
- 14 days or less: 100% of hire charge
7.2 – No refunds are given for early returns or unused days.
7.3 – In the unlikely event the vehicle becomes unavailable due to breakdown, accident, or circumstances beyond our control, we will:
- Offer an alternative vehicle (if available), or
- Provide a full refund of monies paid
No further compensation will be payable.
8. Accidents, Damage & Breakdown
8.1 – In the event of an accident, the hirer must:
- Obtain details of all parties involved
- Notify the police if required
- Contact Roadhouse Leisure immediately
8.2 – The hirer is responsible for any insurance excess and for damage not covered by insurance.
8.3 – Breakdown assistance details will be provided at collection.
9. Pets
9.1 – Pets are allowed by prior agreement only at no extra charge.
9.2 – Where pets are permitted, the hirer is responsible for any additional cleaning or damage.
10. Liability
10.1 – Roadhouse Leisure accepts no responsibility for:
- Loss or damage to personal belongings
- Injury or death unless caused by our negligence
10.2 – The hirer is responsible for ensuring the vehicle is driven safely and legally at all times.
11. Data Protection
11.1 – Personal data will be processed in accordance with UK data protection legislation and will only be used for purposes relating to the hire.
12. Governing Law
12.1 – These Terms & Conditions are governed by the laws of England and Wales, and any disputes shall be subject to the jurisdiction of the English courts.
13. Acceptance of Terms
13.1 – By making a booking and collecting the vehicle, the hirer confirms acceptance of these Terms & Conditions in full.
